Your privacy matters to me. This policy explains how I collect, use and look after your personal information when you visit my website, subscribe to my emails, book a reading or take part in my courses, events and community.
I am Tracy Marie Cleary, trading as Wild Women Project, and I am responsible for the personal information handled through my business.
Email: tracy@wildwomenproject.com
Business location: North Waltham, Norfolk
Depending on how you engage with my work, I may collect:
Your name, email address and contact details
Information about your bookings, purchases and course enrolments
Messages and information you choose to share with me
Your email subscription preferences
Contributions to course discussions and community spaces
Your name, image, voice and contributions during recorded events and course calls
Technical information associated with website use, such as your IP address, browser and device information
Payments are processed through Stripe. I receive information about your purchase and payment status, but I do not receive your full payment card details.
I use your information to provide my services, manage bookings and enrolments, respond to enquiries, send subscribed emails and administer my business.
I also use information to provide course and community access, create recorded teaching resources, maintain business records and meet legal obligations.
Where UK data protection law applies, my legal grounds include:
Contract: where information is necessary to provide something you have booked or purchased
Consent: for subscribed marketing emails and other uses for which I specifically obtain consent
Legal obligations: where I am required to retain or disclose information
Legitimate interests: for necessary business administration, protecting my services and recording or sharing ordinary teaching contributions where justified by an assessment of participants’ rights and expectations
My legitimate interests include delivering participatory teaching, providing replays and developing teaching resources. I consider whether identifiable information is necessary for these purposes and whether editing or anonymisation would achieve the same result with less impact on participants.
Where information reveals health matters, religious or philosophical beliefs or other legally protected sensitive information, an additional legal condition is required. I will obtain explicit consent where appropriate or remove that information from material intended for reuse.
When you subscribe to my mailing list, I use your details to send the writing, news and offerings you have signed up to receive.
You can unsubscribe at any time using the link in my emails or by contacting me. Essential messages about an existing booking, purchase or enrolment may still be sent.
I do not record individual readings or take reading notes.
You may be able to record your own reading if your Zoom account and the meeting settings allow it. Any recording you make is for your personal use. Please ask for my agreement before sharing or publishing it.
Participation is an integral part of my teaching. Online events and live course calls may be recorded, including participants’ names, images, voices and contributions.
Recordings may be made available as replays and incorporated into future teaching resources, including paid evergreen products accessed by people who did not attend the original session. The exact format or title of those resources may be decided later.
Where recording and participation form part of an offering, this will be stated clearly before enrolment so you can consider it when deciding whether to join.
Before making recordings available to a wider audience, I review participants’ identifiable contributions and personal disclosures. Where necessary, I edit or anonymise material or obtain appropriate consent. Enrolment does not provide unrestricted permission for every future use of your personal information.
You can contact me about a recording containing your personal information or object to processing based on legitimate interests. I will consider your request in accordance with applicable data protection law.
Contributions you make in course discussions and community spaces may be visible to other participants with access to those spaces.
Please consider that audience when sharing personal information about yourself or others.
I use services that support my business, including:
Podia: website hosting, courses, community and email communications
Stripe: payment processing
Calendly: appointment bookings
Zoom: online readings, events and course calls
These providers handle information needed to deliver their services. Their privacy notices explain their own data handling practices.
Information may also be shared with professional advisers or authorities where necessary to meet legal obligations or establish, exercise or defend legal claims.
I do not sell your personal information.
Some service providers may store or process information outside your country, including outside the UK.
Where UK restrictions on international transfers apply, transfers must be covered by an appropriate legal arrangement, such as an applicable adequacy decision or approved contractual safeguards.
You can contact me for information about the arrangements relevant to your personal information.
I retain personal information for as long as it is necessary for the purpose for which it is used.
Purchase and accounting records are retained for applicable legal recordkeeping periods.
Booking information and correspondence are retained while needed to provide services, resolve enquiries or deal with relevant complaints and legal claims.
Course and community records are retained while needed to provide access and administer the service.
Teaching recordings are retained while necessary for the teaching offerings and resources in which they are used.
Mailing list information is retained while you remain subscribed. A minimal record may be retained after you unsubscribe to ensure your preference is respected.
I periodically review retained information and delete or anonymise it when it is no longer needed. Recordings are not retained indefinitely solely because they might be useful in the future.
I use appropriate technical and organisational measures to protect personal information against unauthorised access, loss and misuse.
Access is limited to those who need it to deliver services or support my business.
My website and its hosting platform may use cookies and similar technologies to operate the site and support its features.
Where consent is legally required for optional cookies, these require your agreement before use. You can also manage cookies through your browser settings, although blocking essential cookies may affect website functionality.
Depending on the applicable law and circumstances, you may have the right to:
Access your personal information
Correct inaccurate information
Request deletion
Restrict or object to processing
Receive a portable copy of certain information
Withdraw consent where processing relies on consent
Withdrawing consent does not affect processing carried out lawfully before withdrawal. These rights are subject to applicable legal conditions and exceptions.
To make a request, email tracy@wildwomenproject.com.
You can also complain to the relevant data protection authority. In the UK, this is the Information Commissioner’s Office: https://ico.org.uk/make-a-complaint/.
I may update this policy as my services or legal obligations change. The latest version will appear on this page with its updated date.
Where required, I will tell you about significant changes or new uses of your personal information before those uses begin.
